General Info : Common Messaging Formats


For most organizations, e-mail messaging has become an increasingly important mode of communication. However, not all organizations use the same type of messaging systems. In this blog post, we will see the format of e-mail message and some of the common messaging formats used.

Format of an e-mail message

Internet e-mail messages follow the format standards that are defined in RFC 2822. A message is made up of header fields and a body. The header fields are collectively named the "header" of the message. The body of the message is optional. A message can be sent without a body, but not without a header.

The header contains a sequence of lines of characters that have a special syntax, as defined in the RFC 2822 format standard. The body contains a sequence of characters that follow the header and that are separated from the header by an empty line (that is, a line that has nothing before the Carriage Return and Line Feed [CRLF]).

Header fields are lines that are composed of a field name followed by a colon (:), followed by a field body, and ended by a CRLF. A field name must be composed of printable US-ASCII characters (that is, characters that have values between 33 and 126, inclusive), except the colon. The colon is used as a separation character.

A field body may be composed of any US-ASCII characters, except for the CRLF. However, a field body may contain a CRLF when used in header folding and unfolding. Folding is when, for convenience, a single line appears on multiple lines. Unfolding is the reverse of this. All field bodies must follow the syntax described in sections 3 and 4 of the RFC 2822 format standard.

The body of the message may include one or more sections. Each body section is separated by a boundary. The boundary parameter is a text string that begins with two hyphens (—).

Now lets see some of the common messaging formats used…

Plain text

A plain text message is the most accepted form of messaging format. All e-mail message readers can display text messages in plain text format. However, plain text messages cannot display colors, different fonts, or emphasis such as bold or italic text.

Rich Text Format (RTF)

Exchange 2000 uses RTF messaging for messages that are delivered between Microsoft Outlook users. RTF displays colors, fonts, and formatting. However, RTF is only readable by Outlook. Exchange 2003 RTF format is different from the RTF format that is used in a word processor program such as Microsoft Word.

Note If a recipient receives a file attachment named Winmail.dat in their e-mail, that domain has an RTF incompatibility issue. To work around this issue, you must configure a rule that makes sure that messages that are sent to that domain do not use RTF format.

HTML format

HTML mail is a recent implementation that makes it possible to display rich content in a message. When you use the HTML mail format, the message is sent as an HTML page, complete with tags to change the appearance of the text. The recipient’s e-mail client program then formats and displays the HTML. The major issue with HTML text is that not all e-mail client programs support HTML text. If the HTML e-mail message is not displayed correctly, the message can become unreadable.

Plain text and HTML

Exchange 2003 can send messages to external domains as both plain text and HTML. This format appears correctly on both types of client. However, the messages become two times as large and processing takes longer. You may be able to view both the plain text and the HTML in the replies to the message. This behavior frequently occurs in discussion groups where people have posted messages by using both plain text and HTML.

MIME and uuencode

MIME and user-to-user encoding (uuencode) are two different methods of sending binary attachments with messages. Early e-mail client programs used uuencode as the default message format. However, most current e-mail client programs support MIME. You may have to communicate with a domain that continues to use uuencode. In this scenario, you can configure a rule to deliver messages to that domain using the uuencode format.

Message text word wrapping

Although this format is not strictly an e-mail messaging format, some earlier versions of e-mail messaging clients require that a line break is placed after the seventy-sixth or seventy-seventh character. If you do not perform this procedure, those clients can only view the first 76 characters of each line. As a result, large portions of the message may not appear.

Today at the Microsoft Tech•Ed Europe 2009
conference in Germany, Microsoft Business Division President Stephen
Elop announced that Microsoft Exchange Server 2010 is now available
worldwide to help businesses reduce costs, protect communications and
delight e-mail users. Along with Windows 7 and Windows Server 2008 R2,
Exchange Server 2010 is part of a generation of solutions designed for
increased business productivity and cost savings.

In
today’s challenging economic environment, innovative use of new
information technologies can result in improved operational efficiency
and reduced costs. The combination of cost savings coupled with
improved productivity and innovation is defined as “the New
Efficiency.”

Elop also announced the
release of Forefront Protection 2010 for Exchange Server, which helps
Exchange Server customers further safeguard business information.

“Exchange
Server 2010 customers are already reporting cost savings of up to 70
percent thanks to a simplified high-availability model and support for
lower-cost storage. Customers are also seeing productivity gains of
more than 20 percent with a universal inbox that delivers e-mail, voice
mail, instant messaging and text messaging consistently across
virtually any device,” Elop said. “Together with Windows 7 and Windows
Server 2008 R2, the combined cost savings and improved productivity
helps customers generate long-term business success.”

According
to a commissioned study of technology early adopters conducted by
Forrester Consulting on behalf of Microsoft Corp., a customer can see a
payback period of less than six months when upgrading to either
Exchange Server 2010* or Windows Server 2008 R2.**

Per MS Press note reports, Customers
such as Bank of America Corp., Carnival Cruise Line, Global Crossing,
Lifetime Products, Morgan Keegan & Co. Inc., NEC Philips, Subaru
Canada Inc. and Telekom Austria Group
are deploying Exchange Server
2010 and report impressive results with the new server.

“We
have increased storage eightfold at 25 percent of the cost with
Exchange Server 2010 and our employees are seeing a reduction of
unwanted e-mail by more than 70 percent, freeing us up to focus on more
important client issues,” said Steve Derbyshire, operations director,
NEC Philips.

Organizations including
Automatic Data Processing Inc., BMW, Baker Tilly, the City of Miami,
Energizer, Getronics and Pella Corp. are deploying Windows 7 and report
gains in efficiency for both business users and IT. Customers report
improved user productivity and easier information access, reduced costs
with streamlined management, and reduced risk through better security
and increased desktop control. Supporting detail is available in recent

Businesses
are seeing equally significant results from Windows Server 2008 R2,
with customers including Continental Airlines Inc. (U.S.), Chester Zoo
(U.K.), Combell Group NV (Belgium), FinPro (Finland), Wacom Europe GmbH
(Germany) and Wortell (Netherlands) noting cost savings through server
consolidation, reduced power consumption and improved service levels.

“With
Windows Server 2008 R2, we’ve been able to dramatically reduce costs in
our IT infrastructure while simplifying management,” said Phil Morris,
IT manager, North England Zoological Society/Chester Zoo. “By
virtualizing our environment with Windows Server 2008 R2 Hyper-V, we
have reduced the number of servers in our environment by 80 percent
while maintaining the high availability our retail staff, researchers
and management team need.”

“Windows Server
2008 R2 brings many efficiencies to our customers, including enabling
new virtualization scenarios,” said Bill Laing, corporate vice
president for the Windows Server and Solutions Division at Microsoft.
“We’ve added the next generation of hypervisor and the new ability to
perform Live Migration of virtual machines. Many customers are already
seeing tangible results since deploying Windows Server 2008 R2 with
Hyper-V.”

Elop said more than 45,000 partners
are trained on Windows Server 2008 R2 and Exchange Server 2010, with
several partners announcing new services and solutions today, including
Advanced Micro Devices Inc., Avanade, Dell Inc., EMC Corp., Kaspersky
Lab, Symantec Corp. and Unisys Corp.

Exchange Server 2010 and Forefront Protection 2010 for Exchange are available now for trial at http://www.thenewefficiency.com, along with more information about Windows 7, Windows Server 2008 R2 and partner solutions.

Ongoing Commitment to Developers and IT Professionals

As
part of Microsoft’s ongoing commitment to providing developers and IT
professionals with the technology to drive productivity gains within
their organizations, the following announcements also were also made
today at Tech•Ed Europe 2009.

The community technology preview for SQL Server 2008 R2 will be available for download at http://www.microsoft.com/sqlserver/2008/en/us/R2.aspx.

For
use in building multilanguage Web sites and client applications,
Microsoft Translator widgets and APIs are now in beta. Many European
languages are now supported by Microsoft Translator. Additional details

Microsoft’s
Trustworthy Computing Group will release new guidance that extends the
full Security Development Lifecycle process to a wider external
software developer audience, by enabling developers using the Agile
development model to integrate Microsoft’s SDL processes, tools and

helping to ensure their applications are secure and their customers
have a safer, more trusted computing experience.

Per Rajesh Jha, “…we’ve successfully scaled Exchange 2010 to more than
15 million Outlook Live accounts around the world and, moving forward,
to millions more with Exchange Online. Our promise to deliver a
seamless Exchange experience on premises with the server, in the cloud
as a service or a combination of the two truly gives customers choice
and peace of mind.

In this video. John Jendrezak and Trevor McDiarmid give us a first look at Click-to-Run, an innovative new Electronic Software Distribution (ESD) technology for Office 2010 that  utilizes Microsoft’s streaming and virtualization technology (AppVirt – you learned a great deal about this technology right here on Channel 9…).   It’s great to see application virtualization in the mainstream. Note that this is essentially a commercial for the new technology in Office 2010.

Many people started murmuring what is this new stuff, "I’m a PC"? what is this all about.

Even i got the following excerpts:

Later I found that Microsoft launched the next phase of a long-term Windows marketing effort, with the tagline “Life Without Walls.” Key to the new initiative are TV and online spots called “I’m a PC”, which feature both real people celebrating their connection to the community of one billion Windows users worldwide. Windows users can join the community by uploading their own “I’m a PC” videos on windows.com and some user videos will be show on digital billboards in New York’s Time Square.

The “Life Without Walls” theme was introduced via a set of print and out of home ads which show how multiple Windows devices connect seamlessly, across PCs, phones, TVs and other devices. See the Image Gallery for sample print ads.

Outlook UI Issue: Save password setting not retained ?


One of my customer uses MS Windows XP SP3 & Outlook 2007 reported that whenever he tries to connect to the Internet service provider (ISP) to retrieve messages from POP3, his earlier entered password is not retained. He was pretty sure that  he chose to save the password. Also he tried to entering the correct password again does not resolve the issue.

This issue occurs for one or more of the following reasons:

• You have a corrupted Outlook profile or a corrupted Outlook Express identity.

• It may be due to the registry changes or corrupted information.

• This issue might happen add-ins also.

I used the following troubleshooting steps:

Step 1: Check Outlook has valid profile or not.

It’s recommended to make use of new profile without any issues associated with that.

After you locate the .pst files, create a new e-mail profile in Outlook. To do this, follow these steps.

1.Start Outlook.

2. On the Tools menu, click Account Settings.

3. Click the E-mail tab, and then click New.

4. Follow the instructions in the Add New E-mail Account wizard to create the new account.
Note If you do not have the account information that the Add New E-mail Account wizard requires, view the settings for your existing account. To do this, click the account on the E-mail tab in the Account Settings dialog box, and then click Change. Note each setting in the Internet E-mail Settings dialog box.
If you do not know the password for your e-mail account, contact your Internet service provider (ISP). Or, if your mailbox is not associated with your ISP, contact the network administrator of the server on which your mailbox is located for help with your password.

Step 2: Open the Outlook in safe mode

This will avoid any add-ins getting loaded and creating the issues

1. Click Start, and then click Run.

2. In the Open box, type outlook.exe /safe, and then click OK.

Step 3: Troubleshooting with COM Add-in

To troubleshoot possible problems that are caused by COM add-ins, disable any COM add-ins that you do not use regularly. Then, restart Outlook. If that does not resolve the problem, disable the add-ins one by one. If that does not resolve the problem, disable all add-ins. To disable COM add-ins, follow the steps for the version of Outlook that you are using.
For Outlook 2007
To disable COM add-ins, follow these steps:

1. On the Tools menu in Outlook 2007, click Trust Center.

2. Click Add-ins, click COM Add-ins in the Manage list, and then click Go.

3. In the COM Add-Ins dialog box, click to clear the check boxes for any COM add-ins that you want to disable.

4. After you disable the add-ins, click OK, and then restart Outlook.
